Privacy Policy

1. Scope and your relationship with us

Referral Booster provides referral software to home-service businesses (for example HVAC, plumbing, electrical, garage-door, and roofing companies). Two different kinds of personal information flow through the Service, and our role differs for each:

• Information about you, our business customer and our site visitors. When you visit this website, request a demo or an ROI report, create an account, or subscribe, we act as the business that determines the purposes of processing and this Policy governs how we handle it.
• Information about your customers. To run your referral program, you provide us with personal information about your own past and current customers (for example, names, mobile numbers, and email addresses) by uploading a list or connecting your CRM/field-service software. For that information we act only as your service provider. You remain accountable for it, you decide how it is used, and you are responsible for having a valid legal basis and any required consent to provide it to us and to have us contact those individuals on your behalf. We process it only to provide the Service to you, under our agreement and our Data Processing Addendum.

If you are one of our customers’ customers and have a question about your information, please contact the business you dealt with (they are responsible for it); we will support them in responding to your request.

2. Information we collect

Information you give us

• Contact and account details, your name, work email, company name, role, phone number, and the credentials you use to access the Service.
• Business details you submit, information you enter into our forms (such as trade, number of locations, job volumes, and the figures you provide to generate an ROI report).
• Billing information, your subscription and billing details. Payments are processed by our Merchant of Record, Paddle.com Market Limited (“Paddle”), and Referral Booster does not collect or store your full payment-card number.
• Communications, messages you send us by email or through the Service, and our records of support interactions.

Information we process on your behalf (your customers’ data)

• Customer contact details (names, mobile numbers, email addresses), referral and job records, reward and payout records, and message logs, all provided by you via upload or CRM/field-service sync, and processed by us only to operate your referral program.

Information we collect automatically

• Usage and device data, pages viewed, actions taken, approximate location derived from IP address, browser and device type, and similar analytics, collected through cookies and similar technologies (see our Cookie Policy) and our analytics providers.
• Messaging metadata, delivery and engagement information for text messages sent through the Service (for example, delivery status and opt-out replies), via our SMS provider.

Information from integrations

• When you connect a third-party system (such as Housecall Pro, ServiceTitan, Jobber, or Service Fusion), we receive the customer and invoice data you authorize that system to share with us, in order to run and attribute your referral program.

3. How and why we use personal information

We use personal information to:

• provide, operate, secure, and improve the Service;
• send the text messages and emails you configure as part of your referral program, on your behalf;
• track and attribute referrals and calculate rewards and payouts;
• set up and manage your account and process your subscription through Paddle;
• respond to your requests and provide support;
• detect, prevent, and address fraud, abuse, and security issues;
• send you service and, where permitted, marketing communications (you can opt out at any time); and
• comply with our legal obligations and enforce our agreements.

We process information about your customers strictly on your documented instructions, for the limited and specified purpose of providing the Service. We do not “sell” or “share” personal information, and we do not retain, use, or disclose it for any purpose other than performing the Service or as permitted by applicable law.

4. Text messaging

The Service sends text messages on behalf of our business customers. Consent, opt-out, message frequency, and other messaging terms are described in our SMS Terms. We do not use mobile numbers collected for messaging for our own marketing, and we do not sell them or share them with third parties for their marketing purposes.

5. Cookies and analytics

We use cookies and similar technologies and privacy-conscious analytics providers to understand and improve how the website and Service are used. You can control cookies as described in our Cookie Policy.

6. When we disclose personal information

We do not sell personal information. We disclose it only as follows:

• Service providers (sub-processors) who help us run the Service, for example hosting, our SMS provider, transactional email, analytics, and payment processing. They may only use the information to provide services to us. Our current list is at Sub-processors.
• Paddle.com Market Limited (Paddle), our Merchant of Record, to process your purchase. Paddle’s own terms and privacy notice apply to that transaction.
• The business customer on whose behalf we process customer data, and the integrations you connect.
• Legal, safety, and compliance, where required by law or legal process, or to protect rights, safety, and the integrity of the Service.
• Business transfers, in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

7. How long we keep it

We keep personal information about your account for as long as your account is active and for as long afterward as we need it to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. We process and retain information about your customers in accordance with your instructions and our agreement, and delete or return it as required when our relationship ends.

8. How we protect it

We maintain appropriate administrative, technical, and physical safeguards designed to protect personal information against loss, theft, and unauthorized access, use, or disclosure, appropriate to its sensitivity. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Where information is processed

We and our service providers may process personal information in United States and in other countries, including the United States and Canada. Where information is transferred across borders, it may be subject to the laws of the country in which it is processed, and we take steps intended to ensure it continues to receive an appropriate level of protection.

10. Your U.S. privacy rights

Depending on your state of residence (for example California, Virginia, Colorado, Connecticut, Utah, Texas, and other states with comprehensive privacy laws), you may have the right to:

• know about and access the personal information we hold about you;
• request that we correct inaccurate personal information;
• request that we delete your personal information;
• opt out of the “sale” or “sharing” of personal information and of targeted advertising;
• limit the use of sensitive personal information; and
• not be discriminated against for exercising your rights, and to appeal a decision.

We do not sell or share personal information, and we do not use it for cross-context behavioral (targeted) advertising. To exercise a right, email hello@referralbooster.co; we will verify your request as required by law. If your information was provided to us by one of our business customers, we will direct your request to that business, which controls the information.

11. Children

The Service is a business tool and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us and we will take appropriate steps to delete it.

12. Changes to this Policy

We may update this Policy from time to time. We will post the updated version here and change the “Last updated” date above; significant changes will be communicated as required by law.
